OFFICE SERVICES CLERK - Float team
A highly respected law firm in the city of Calgary requires a full time Office Services Clerk - Float to be part of their team.
Responsibilities
- Receives sorts and delivers mail and courier packages on an hourly basis to all individuals
- Receives and processes faxes
- Responds and completes all email requests that are received in a timely manner
- Provides back up in the preparation of boardrooms for meetings, including setting up requested equipment and catering
- Ensures adequate supplies in all copy/supply rooms
- Operates a multi-line telephone in order to relay incoming, outgoing and intra-system calls. Directs telephone calls to appropriate lawyers and staff.
- Orders office supplies as needed and ensures invoices are correct. Transports office supplies to requested users. Provides necessary supplies to boardrooms
- Coordinates bank deposits, certified cheques, and certified mail, with courier
- Perform all document duplication and assembly. Including scanning, printing, photocopying, hole punch and binding according to direction
- Obtains missing information if need be
- Keeps an inventory of all reprographic supplies and replenishes reprographic area when required. Cleans and maintains the area after jobs are complete.
- Enters supplies used into copytrack in a timely manner so that client billing is accurate
- Maintains all firm photocopier and equipment in good working condition and ensures orderliness of reprographic room area
- Replaces colleagues on occasion (peak periods, vacation, etc.)
- Other duties as assigned
- Qualifications
- Post-secondary education or similar work experience
- One to three years of related experience preferably in a professional services environment.
- Possess and demonstrate working technical knowledge, skills and expertise appropriate to the role
- General computer knowledge (Microsoft Outlook, Internet
- Frequent heavy lifting (approx. 50 lbs) and bending required
- Ability to work effectively in a team environment as well as independently

EXECUTIVE ASSISTANT
A small corporate administration/corporate compliance consulting company working with publicly traded and private companies in downtown Calgary is currently looking to hire a full time Executive Assistant to become part of their team.
General Duties
The successful candidate will report to the CEO and provide administrative support to all members of this small team.
Primary Responsibilities (will include assisting team members with the following):
- Various corporate and securities projects
- Minute book and corporate records administration
- Stock option and warrant issuances and exercises
- Compiling board and committee meeting packages and closing books
- Tracking client files and client correspondence
- Preparing and/or editing internal and external letters, faxes, memos and emails
- File maintenance/file management
- Covering office administrator duties during vacations and other absences
- Assisting the payroll officer in compiling data for processing payroll and processing and distributing payroll documents

- Excellent typing skills
- Proficient at composing and formatting formal business correspondence
- Knowledge of and experience in Corporate and/or Securities law are definite assets
- A legal assistant who has worked in corporate and/or securities law for a smaller to mid-sized law firm would be potentially a nice fit for this position.
